RhinoBerry (“RhinoBerry,” “we,” “us”) is a South African digital marketing consultancy. This policy explains what personal information we collect, why, and what rights you have over it, in line with the Protection of Personal Information Act (POPIA).

Who we are

RhinoBerry, Western Cape, South Africa. For any privacy question or request, contact [email protected].

What we collect

  • Contact and enquiry details (name, email, phone, business info) submitted through our website forms
  • Email address and engagement history if you subscribe to our list or receive marketing emails
  • Responses to our Business System Scorecard or similar diagnostic tools
  • Your WhatsApp number and messages, and call details (and recordings or transcripts, see below), if you contact us or we contact you after you ticked the consent box
  • Website usage data (pages visited, general location, device type) via analytics tools
  • Ad interaction data (via Google and Meta advertising pixels) if you arrive from one of our ads

Why we collect it

  • To respond to enquiries and provide the services or information you’ve requested
  • To contact you by email, WhatsApp or phone where you ticked the consent box, and to send marketing communications you’ve opted into, and measure their performance
  • To improve our website and campaigns based on aggregate usage patterns
  • To meet contractual obligations for active clients

Who we share it with

We use third-party service providers to run our systems — email delivery (Amazon SES), CRM (FluentCRM, self-hosted), automation (self-hosted), Google Workspace (email and calendar), TidyCal (booking), our scorecard provider (ScoreApp), Cloudflare (security checks on our forms), WhatsApp (Meta) and Sudonum (WhatsApp messaging and phone calls), website hosting, analytics (Google Analytics), and advertising platforms (Google Ads, Meta Ads). These providers process data on our behalf under their own security and privacy terms; we do not sell personal information to third parties. Some of them are outside South Africa.

Contact and communication consent

Version 1.0. Last updated 3 October 2026.

Who we are. RhinoBerry is the responsible party for your personal information under POPIA. Our Information Officer is Cobus van Vuuren. You can reach us at [email protected].

What you agree to. When you tick the consent box on a form, you agree that RhinoBerry may contact you by:

  • email
  • WhatsApp, including text, voice notes, images, documents and links
  • phone calls, including calls placed through our tracking numbers

What we contact you about. Your enquiry or scorecard results; follow-up on what you asked about; and occasional related news or offers about marketing for your business. We will not contact you about anything unrelated.

How consent is given. You give consent by ticking the box on the form. It is voluntary. We save the date and time, the form you used, the channels, and the version of this wording you agreed to.

How often. Only as needed, and only occasionally for related news or offers. We do not sell your information or hand it to others to market to you.

WhatsApp. WhatsApp messages are delivered through WhatsApp (Meta) and our messaging provider, Sudonum. Your number is processed by them so the message can be delivered. After you submit a form you may receive an automatic message. A person may also send you voice notes or replies.

Calls. Calls to or from our tracking numbers may be recorded and transcribed to help us serve you and check call quality.

Changing your mind. Reply STOP on WhatsApp, use the unsubscribe link in any email, tell us on a call, or email [email protected]. We act on it promptly and stop contacting you on all channels, not only the one you used. Withdrawing does not affect messages we need to send to deliver something you already asked for, such as a booking confirmation or a receipt.

Governing law. The laws of the Republic of South Africa apply.

How long we keep it

We retain enquiry and marketing data for as long as it’s relevant to an active or reasonably prospective business relationship, or until you ask us to delete it, whichever comes first.

Your rights

Under POPIA, you can ask us to access, correct, or delete your personal information, or object to its use for direct marketing at any time (every marketing email includes an unsubscribe link, and you can reply STOP on WhatsApp). Email [email protected] and we will act on it promptly. If we cannot sort it out, you can lodge a complaint with the Information Regulator: [email protected], 010 023 5200 or 0800 017 160, Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191, inforegulator.org.za.
